Club Rules & By Laws
In November 2013, Oakleigh Tennis Club revised its Rules of Incorporation in line with the State Government of Victoria’s Associations Incorporation Reform Act 2012.
The committee investigated the government’s proposed Model Rules, and found that in some areas, they were unsuitable for our purposes. We modified these rules to form The Rules of Oakleigh Tennis Club Incorporated, and also updated the By-Laws of Oakleigh Tennis Club Incorporated, both of which can be viewed in full by clicking on the links below:

Extract (Summary) from the Association Rules:
1. The name of the incorporated association is Oakleigh Tennis Club Incorporated.
The Registration number of the Association is A0012347X.
2. The purposes of the association are:
1) To provide a safe, well-maintained environment where tennis can be played.
2) To promote the game of tennis to any interested member of the community.
3) To arrange competition tennis for members of the association.
4) To provide tennis coaching for any interested party who wishes to improve their tennis standard.
5) To arrange social activities for the enjoyment of members of the association.
3. The financial year of the Association is each period of 12 months ending on June 30.
The By-Laws of Oakleigh Tennis Club Incorporated
1) CLUB COLOURS
- The club colours (as they have been since they were first adopted by the club in 1908) are Purple and Gold.
- These colours may be reproduced with the following RGB colour combination:
PURPLE (Red=52, Green=0, Blue=104)
GOLD (Red=255, Green=255, Blue=0)

3) MEMBERSHIP & PARTICIPATION CATEGORIES
- Membership categories are determined (as per Association Rule #12) at the Annual General Meeting (or at a Special General Meeting).
- All membership categories require an annual payment, with the exception of Parent Memberships, Tennis Class Participants, Supporter / Social Memberships (Non-Playing) and Life Memberships.
- All membership categories include voting rights, except Junior, Tennis Class Participant & Supporter / Social Membership (Non-Playing).

TENNIS VICTORIA MEMBERSHIP
As Oakleigh Tennis Club is affiliated with Tennis Victoria, everyone who registers as a member or a participant with Oakleigh Tennis Club on My Tennis is automatically registered as a Tennis Victoria Member.
- Tennis Victoria provides a number of direct member benefits, including:
- Personal accident insurance coverage
- Early access to Australian Open tickets
- E-newsletter
- Unique My Tennis ID allowing access to tournaments and events
TENNIS CLASS PARTICIPANTS
- Everyone who is COACHED or does a CARDIO TENNIS class or any other class at the club (with fees payable to the club’s authorised coaches), is required to be a member of the club by registering and paying for one of the above memberships.
- Initially, players can register for a free 6-week membership, after which they must register for a financial membership to continue with our coach-run activities.
- This will permit you to play at any other times while you decide if you will continue with your coach-run activities.
- If you later wish to play competition tennis, the club will already have your membership details - being a member is necessary for your team registration to be lodged by the club.
4) PAYMENTS
OUR PREFERRED PAYMENT METHOD IS ELECTRONIC FUNDS TRANSFER (EFT).
The club’s committee requests that where possible, the following club-related fees
- Membership Fees
- Team Entry Fees (Ball Money)
- Club Clothing (Shirts etc)
- Visitor’s Fees
should be paid by Electronic Funds Transfer (EFT), and directed to the following account:
- Bank: Bendigo Bank
- BSB: 633000
- Account Number: 164845927
- Account Name: Oakleigh Tennis Club (OTC Everyday Account)
Please clearly identify your payments with the member’s name, and what each payment is for.
If EFT is not possible, payments may also be made by cash or cheque or credit card, although these methods are not preferred, and a $5.00 credit card processing fee is applicable to cover the extra cost the club will incur from the credit card payment facility provider to process this type of payment.
5) PAYMENT OF FEES FOR SERVICES PROVIDED BY THE CLUB’S COACHES
- Payment for any services provided by our club’s coaches (VTA) should be made as directed by them.
- Please do NOT make payments for VTA coaching classes, private lessons or Cardio Tennis directly to the club.
6) COMPETITION FEES

7) LATE FEE PAYMENTS
- All membership fees (for the following financial year) are to be invoiced at the start of June and are due by June 30.
- Any member who has not paid their membership fees by July 31 will lose playing rights, and will have to pay non-member Book-A-Court fees until their membership fees are paid.
- Any member who has not paid their membership fees by July 31 will lalso have thier clubhouse swipe card deactivated until their membership fees are paid.
- Any member who has not paid their membership fees by the date when WDTA team registration forms are due will not placed into a team for that season.
8) VISITOR FEES
- Visitors may play at the club when accompanied by a member.
- Visitors must pay a fee of $10.00 per visit before playing.
- After 5 paid visits, a visitor must apply to become a member of the club.
9) ACCESS TO COURTS, CLUBHOUSE & STORAGE AREA
- Access to play on the the courts is gained through the Book-A-Court system.
- Keys and/or swipe cards may be issued to some members, depending on their roles within the club (committee members, coaches, team managers and some volunteers) for the courts, clubhouse, office and/or the storage area.
- Swipe cards for the clubhouse may also be available to members upon payment of a non-refundable deposit of $30.00.
- Swipe cards are purchased form Monash Council twice each year.
- Swipe cards will be deactivated if a membership lapses (non-payment of membership fees).
- Swipe cards will only be issued to members over the age of 18, or parents of (junior) members under the age of 18.
- A log will be maintained of all members with keys or swipe cards.
10) SPECIAL PROMOTIONS & CASES
During the running of special promotions designed to attract new members to the club, the committee reserves the right to temporarily:
- Add new membership or participation categories.
- Reduce the joining and/or annual fees of any or all membership categories.
- Waive the joining and/or annual fees of any or all membership categories.
- Increase the length of any or all membership categories.
The committee also reserves the right to reduce or waive joining and/or annual fees in special (hardship) cases.
