COACHING POLICY
Late Payment and Collections Policy
All coaching invoices must be paid in full by the stated due date.
If payment is not received by the due date, the following process will apply:
- First Reminder Notice:
A reminder will be issued shortly after the due date. No late fee will be applied at this stage. - Second Reminder Notice:
If the invoice remains unpaid, a second reminder will be issued and a 10% late fee will be added to the outstanding balance. - Third Reminder Notice:
If the invoice is still unpaid, a third and final reminder will be issued and an additional 10% late fee will be applied (total 20% in late fees). - Collections Process:
If payment is not received after the third reminder, the outstanding balance will be referred for recovery through the VCAT (Victorian Civil and Administrative Tribunal) court system.
In the event that the matter proceeds to collections, the client will be liable for all associated costs, plus a $250 administration fee to cover the processing and filing of the claim.
By engaging in coaching services, clients acknowledge and agree to these payment terms and conditions.
REFUND / CREDIT POLICY
- We strictly do not offer refunds under any circumstance
- Extended illness, injury or school camp for 4 consecutive weeks or more will be entitled to a credit. For a credit to be provided for extended illnness or injury a medical certificate must be presented to the office and include the dates the student is unable to attend lessons. Credits will be allocated only for lessons where noticed is provided.
- Credits can be transferred to another student
- Credits will expire after 12 months
EXTREME WEATHER POLICY
- Our dedication to providing a duty of care to our clients means that sometimes we may have to cancel lessons.
- In the event of this, we will always send an SMS [ideally] 30 minutes before lessons are due to begin.
- Lessons will always be on unless indicated by ETA staff via text.
Heat Policy
- Lessons will be conducted in line with the Tennis Australia Heat Rule - which is 36o.
- When the temperature reaches 36o lessons will be cancelled & notification will be sent via text to clients.
Wet Weather Policy
- Lessons will be cancelled when the court surface becomes too dangerous due to wet weather.
- Lessons can still be conducted in rain until the playing surface is deemed unsuitable.
- Cancellations are at the sole descretion of the coach conducting the lesson.
- Lessons that are cancelled under the wet weather and heat policy will be entitled to a make up lesson.
- Clients who choose not to attend & the lessons are conducted will not be entitled to a make up lesson.
The golden rule: If you do not receive a text message advising cancellation then assume the class is going ahead.
DISCLAIMER: VARIATION TO SERVICES
The Client acknowledges that Elite Tennis Academy reserves the right to cancel, update or vary the Program, including but not limited to, timing, terms, prices, fees, format or coaches in relation to its services without notice at its sole discretion.
PHOTOGRAPHY CONSENT
The Client agrees to any official photography, and use of images by Elite Tennis Academy for professional purposes. Notification must be given in writing if you do not consent to any form of photography.
