Terms and Conditions of Online Bookings

Scoresby Tennis Centre Inc - Court Hire:

General Responsibilities

Individuals booking courts at Scoresby Tennis Centre Inc (STC) are required to comply with the terms and conditions set out in this document. Both the person making the booking and their guests must adhere to all child safety regulations mandated by Tennis Australia and Knox City Council. This includes refraining from inappropriate comments, instructions, or actions, particularly towards anyone being coached or participating as part of the booking.

Terms and Conditions

  • All participants and their guests must comply with these terms and conditions when booking or using STC facilities.
  • Court hire is available to both members and the public via the club’s booking system. For bookings by an STC member, the member must remain onsite for the duration of the booking.
  • The Club may change court hire costs, including fees for court lighting, at its discretion.
  • The Club reserves the right to decline any booking.
  • Users must maintain the condition of the courts and avoid actions that could damage or alter the surfaces.
  • Alcohol is not permitted on club premises, including courts and adjacent areas.
  • Animals are not allowed on the premises unless properly restrained, and under no circumstances are they permitted on court surfaces or in the pavilion.
  • Players may only use the court(s) booked and must not exceed the number of players or facilities allocated.
  • All users are expected to respect the facilities, remove rubbish, and leave areas clean and orderly.
  • Appropriate attire is required for all players.
  • Players must observe their allocated booking times, and only named individuals in the booking may use the courts during that period.
  • Courts should be vacated promptly at the end of the booking.

Coaching At STC

The Club employs a professional tennis coaching service. Professional coaching by other providers is not permitted at this facility due to contractual, insurance, and child safety requirements. If the Club becomes aware of unauthorized coaching for compensation, it may take action such as cancelling related bookings until confirmation is received that:

  • Professional services are not being provided,
  • No promotion of such services occurs at the centre,
  • Coaching activities are not held at the location,
  • The coach does not regularly attend for such purposes.

Members wishing to use unpaid coaching services from non-club coaches must obtain approval from the Club, providing insurance documentation, coaching history, a Working with Children certificate, and intended usage details. Additional information may also be requested. The Club will review and respond to such requests.

If unauthorized compensated coaching is identified, the Club may restrict future bookings and access for the coach involved. Members found breaching these coaching terms may have their booking privileges and facility access suspended until the issue is resolved.

Booking Issues and Refunds

Court Booking Cancellations

Online bookings can be cancelled before the scheduled time if the user is unable to attend or due to inclement weather; the Club Spark system will then automatically process a refund. Alternatively, cancellations can be made by emailing admin@scoresbytennus.com, but manual refunds through this method may take longer. Online bookings may be cancelled up to three weeks prior to the booking time; once the booking has commenced, refunds are unavailable.

Court Availability Rules by Membership

To ensure equitable access, the following Fair Play rules apply based on membership status:

  • Veteran members: up to 7 hours of court hire per week
  • Senior comp players or social members: up to 14 hours per week
  • Family members: up to 21 hours per week

The Book-A-Court system enforces these limits. For special arrangements, users should contact admin@scoresbytennis.com for guidance.

Booking rules include:

  • Only use the courts booked for the allocated times.
  • Bookings cannot be transferred to other courts if they are available.
  • Do not use additional courts beyond those booked.
  • Free courts next to courts with active lighting should not be used unless booked.

Penalties

  • The Club may issue invoices for breaches, such as overstaying bookings or exceeding the number of players or courts booked.
  • CCTV monitors court usage and compliance. The Club may use footage to issue warnings, restrict bookings, or enforce penalties for policy violations.
  • The Club retains the right to cancel or suspend booking privileges if courts are misused or concerning activities persist after notification.
